Instructions for Presenters
ORAL PRESENTATIONS
Presenters are allotted 20 minutes total presentation time (15 minutes for the lecture and 5 minutes for discussion and questions). To synchronise the parallel sessions, session chairs have been instructed to retain a strict control of this time schedule. This is to allow participants to move from one session to another without missing any of the presentation.
The official format of the presentation is via projector using Microsoft PowerPoint.
- Please prepare your slides in Microsoft Power Point for Windows 2021/2023 (.pptx). If presentations are created with other software packages, they must be converted into the supported ones.
- The display resolution of the data projectors will be 1920×1080 pixels (16:9 Full HD).
- Recommended image formats are .jpg and .png.
- If your presentation includes videos, audio files, PDFs, or other linked content, please ensure all associated files are saved in the same folder as your presentation.
- Use standard fonts whenever possible. If you use a custom font, please embed it or provide the font file together with your presentation.
- As the presentation computers will not have internet access, please avoid relying on online content or external links during your presentation.
Presenters will not be allowed to connect their own computers to the projectors at the Symposium.
All presenters are required to bring their presentations saved on to a USB memory stick or external hard drives virus free. All presentations will be checked in at the Slide Center. Technicians will check them for compatibility and load them on to the Slide Center Network. Should a virus be detected, the presentation will not be loaded on the network. Purging and cleaning of the infected files will not be performed.
All presenters must load and test their presentations in the Speaker Ready Room the day prior to their session (and at the very latest 3 hours prior to the beginning of the session in which the presentation is scheduled). Please review your presentations carefully before arrival, rehearsals and significant editing will not be allowed on the Symposium computers. Speakers presenting on Monday are kindly requested to upload and test their presentations on Sunday between 16:00 and 18:00. Please ensure that you have your presentation identifier (Format example: D2-893) with you when making any uploads/changes at the Symposium.
It is the responsibility of the individual presenters (not the organisers) to check their presentation before downloading. An audio-visual technician will be available to assist.
Please note that you will receive an email with a code e.g. D2-789 or BFR1-453. This is the session number and abstract number. Please ensure you name your file accordingly. If the abstract number begins with “00”, please omit the leading zeros and use only the last three digits. For example: D2-789.
SPEAKER READY ROOM (Slide Center 1st Floor)
Two technicians will be available to assist you with uploading your presentation to the correct breakout room at the following times:

POSTER PRESENTATIONS
Display area for poster presentations will be provided in the Palavela Exhibition Area. The poster must be in A0 format and in portrait orientation – 841 mm (width) x 1189 mm (height). Poster presenters are to ensure their poster on the correct board that features their four-digit poster number by 12:00 noon on Monday 14 September and should be displayed until 14:00 of on Thursday 17 September.
Presenters are responsible for setting up and removing their posters. The organiser will provide materials to affix the poster to the boards. Posters will be displayed per topic and ordered by poster number. Posters must be printed ahead of the Symposium by the presenters.
All posters may be viewed at any time that the Symposium is in session in the designated poster area. In addition, specific times are set aside after the breakout sessions on Monday, Tuesday and Thursday for poster viewing. These sessions will be accompanied by local tastes of Italy, cheers!
All three sessions will cover all poster topics, poster presenters are therefore required to be present at their poster board during the three poster viewing sessions.
Please note that you will receive an email with a code e.g. P-328. This is the session number and abstract number. Please ensure you mount the poster to the correct poster board. If your poster number contains leading zeros, only the digits after the zeros will appear on your poster board. For example, poster P-00723 will be displayed as P-723 on the poster board.
The posters will be divided into aisles. We will help you find the correct poster board.

POSTER REMOVAL
Posters must be removed after the last poster session concludes on Thursday, 17 September at 14:00. Any posters left after 16:10 on Thursday will be removed and discarded without notice.
IMPORTANT
Posters are intended as scientific contributions to the Symposium and must not be used for commercial advertising or promotional purposes. The Organising Committee reserves the right to remove any poster that is considered commercial in nature.
